Job Description
An established legal team is seeking a highly skilled Commercial Real Estate Legal Assistant to support attorneys and paralegals in a fast-paced transactional practice. The ideal candidate must have significant experience in commercial real estate (residential-only experience will not be considered) and possess strong organizational, technical, and communication skills.
Key Responsibilities: • Prepare, review, revise, and proofread a variety of legal documents and correspondence related to commercial real estate transactions • Create, format, and edit documents, including tracking and redlining changes • Assist attorneys and paralegals with pre- and post-transaction closings • Prepare closing binders and organize transaction documentation • Handle monthly client billing (paper and electronic), including reviewing prebills for accuracy, assisting with timekeeper inquiries, and editing billing narratives • Maintain and organize both paper and electronic client files • Assist with conflict checks and the opening and closing of client matters • Perform administrative tasks such as preparing engagement letters, processing new client/matter reports, scheduling meetings and Zoom calls, filing expense reports, entering attorney time, and managing phones • Support attorneys with day-to-day operational and administrative needs
Qualifications: • Minimum of 5+ years of experience in a commercial real estate legal support role (Legal Assistant or Paralegal required; commercial experience is mandatory) • Advanced proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel • Experience with Document Management Systems (e.g., iManage or similar platforms) • Excellent organizational and communication skills • Ability to manage multiple tasks, meet tight deadlines, and adapt to changing priorities • Strong analytical and problem-solving abilities • Demonstrated initiative, sound judgment, and attention to detail
Education: • Bachelor’s degree and/or Paralegal Certificate preferred
