Key Responsibilities • Distribute incoming mail efficiently, ensuring all materials reach the appropriate team members in a timely manner. • Provide phone coverage, managing calls for attorneys and support staff as needed. • Coordinate calendars, schedule meetings, reserve conference rooms, and organize virtual calls. • Welcome clients and visitors, creating a professional and organized atmosphere in the office. • Assist with administrative tasks, including research, reporting, and internal coordination. • Review and proof documents meticulously for accuracy, formatting, and overall quality. • Maintain and organize both digital and physical filing systems to ensure easy access to information. • Support travel planning, manage expense reporting, and track reimbursements. • Prepare, edit, and finalize documents including correspondence and internal materials. • Handle the scanning, printing, and distribution of documents, including large files, with care. • Update and maintain contact records within internal systems for smooth communication. • Assist with time entry and administrative tracking for team members to ensure efficient operations. • Coordinate external services such as courier requests and document processing efficiently. • Provide general administrative support and contribute to special projects as needed.
Qualifications • Bachelor's degree is preferred, showcasing your commitment to your professional development. • 12+ years of experience in administrative, office, or customer-facing roles. • Experience in a law firm or professional services environment is a plus but not required. • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) to assist in daily tasks. • Highly organized with exceptional attention to detail, able to manage multiple priorities effectively. • Excellent written and verbal communication skills to convey information clearly. • Must be comfortable handling confidential and sensitive information with discretion.
