Job Title: Document Control Specialist Reports To: Sr. Kitchen Group General Manager Department: WCD Quality Assurance FLSA Status: Exempt Salary Range: $70,000 – $80,000 annually Position Summary The Kitchen Document Control Specialist is responsible for developing, implementing, and maintaining document control systems within Ready-to-Eat (RTE) food manufacturing operations. This role ensures that all quality, food safety, and regulatory documentation remains accurate, current, and compliant with company standards and applicable regulatory requirements. This position plays a key role in supporting comprehensive food safety programs and serves as a primary point of contact during internal audits, third-party audits, customer audits, and regulatory inspections. Essential Duties and Responsibilities Document Control & Compliance • Develop, implement, and maintain the company’s document control system, including policies, procedures, SOPs, forms, and work instructions. • Ensure all documents are reviewed, approved, issued, revised, and archived according to company and regulatory standards. • Maintain strict version control and prevent the use of obsolete documentation. • Track document changes and maintain detailed revision histories. • Ensure documentation complies with applicable standards, including SQF, BRCGS, HACCP, FSMA, FDA, and USDA requirements. • Manage proper record retention and disposal in accordance with legal and regulatory timelines. • Maintain organized physical and electronic filing systems for certifications, logs, and compliance documentation. • Verify completeness and accuracy of production, quality, and food safety records. Audit & Regulatory Support • Support internal audits, third-party audits, customer audits, and regulatory inspections. • Retrieve, organize, and present required documentation during audits. • Maintain continuous third-party audit readiness. • Serve as point of contact for regulatory agencies, including FDA, USDA, State, County, and City Health Inspectors. • Assure compliance with Minimum Vendor GMP and Food Safety Requirements. Training & Communication • Distribute controlled documents to relevant departments. • Ensure employees are trained on updated procedures and revisions. • Assist in developing and maintaining document control training materials. • Communicate policy and procedure changes in a timely and effective manner. Continuous Improvement & Investigations • Conduct internal audits of Kitchen operations. • Investigate customer store complaints in a timely manner and maintain proper documentation. • Participate in system reviews to identify process improvement opportunities. • Recommend enhancements to document control procedures to support evolving regulatory and operational needs. • Perform other duties as assigned. Education and Experience • Associate or Bachelor’s degree in Food Science, Quality Assurance, Business Administration, or related field preferred. • 2–4 years of document control experience, preferably in food manufacturing or another regulated industry. • Working knowledge of SQF, BRCGS, HACCP, FSMA, FDA, and USDA regulations. • Strong attention to detail and organizational skills. • Ability to manage multiple priorities under tight deadlines. Technical & Computer Skills • Strong proficiency in Microsoft Office Suite (Excel required). • Experience with document control systems preferred. • SAP experience preferred. • WMS/Gold system literacy required. Reasoning & Interpersonal Skills • Excellent written and verbal communication skills. • Ability to interact effectively with all levels of management. • Capable of working independently while managing confidential documentation. • Ability to support and collaborate within a diverse workforce.
