JOB DESCRIPTION Job Description Role: Administrative Assistant (Temp-to-Perm Opportunity) Location: On-Site | Greater Philadelphia Area Pay: $20/hr (based on experience) | Potential for full-time conversion Benefits: This role is eligible for medical, dental, vision and 401k. About the Opportunity We are partnering with a mission-driven organization seeking a highly organized Administrative Assistant to support senior leadership and day-to-day operations. This is an immediate need with strong potential to transition into a permanent role. This position plays a critical role in keeping operations running smoothly supporting executives, coordinating logistics, and ensuring administrative processes are executed efficiently. Key Responsibilities • Manage and maintain executive calendars, scheduling meetings and prioritizing appointments • Coordinate meetings: prepare agendas, track attendance, and document key notes/action items • Assist with front desk coverage and serve as a professional point of contact for visitors • Process expense vouchers, invoices, and billing documentation with accuracy and timeliness • Order and manage inventory for program supplies, events, and operational needs • Support internal teams with program coordination and administrative tasks • Maintain organized electronic filing systems and documentation • Assist with meeting logistics (room setup, virtual meeting coordination, materials prep) • Provide support for special projects and leadership initiatives • Respond to general inquiries, including volunteer coordination and communication Qualifications • 2–5+ years of administrative, program, or executive support experience • Experience with scheduling, invoicing/expenses, and front desk support • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and document management tools • Strong organizational skills with the ability to manage multiple priorities • Excellent communication skills and a proactive, “take charge” mindset Preferred: • Experience in healthcare, nonprofit, or community-based organizations • Familiarity with EHR systems or similar platforms Addison Group is an Equal Opportunity Employer.
