Job Title: Construction Project Coordinator
Position Overview: We are seeking a detail-oriented Construction Project Coordinator to support project managers and field teams throughout the lifecycle of construction projects. This role is responsible for coordinating documentation, subcontract processes, contract administration, and project tracking to ensure projects are completed on time, within budget, and to client expectations.
Key Responsibilities:
Support project activities including RFIs, RFPs, submittals, subcontract processing, and documentation management Assist with project setup, cost tracking, scheduling updates, and system entries Maintain accurate project files, including contracts, communications, and proposals Coordinate subcontractor processes, including preparing subcontracts, collecting compliance documents (COIs, waivers, bonding), and processing invoices Track and resolve subcontractor billing issues in coordination with accounting Support contract administration, including new contracts and modifications to existing service, maintenance, retrofit, or PSA agreements Manage Labor & Material tickets and service order documentation Prepare and compile submittal packages (e.g., drawings, schedules, bills of materials) for internal teams and clients Assist with procurement by entering and tracking material orders through purchasing systems Support project closeout by organizing as-builts, final invoicing, warranty documentation, and project manuals Assist with safety coordination, including tracking toolbox talks, reporting, and ensuring proper equipment compliance Provide general administrative support and perform additional duties as needed
Required Qualifications:
Experience supporting construction or building maintenance project teams Strong organizational skills with high attention to detail and accuracy Ability to manage multiple priorities in a fast-paced environment Proficiency in Microsoft Office (Word, Excel, Outlook) Strong communication and interpersonal skills
Preferred Qualifications:
Experience with government contracting Familiarity with construction documentation (RFIs, RFPs, submittals, change orders) Experience with Microsoft Project or similar tools Advanced Excel and PowerPoint skills Knowledge of project accounting or cost tracking principles
Education:
High School Diploma or equivalent required Associate’s or Bachelor’s degree in Construction Management, Business, or related field preferred
